Facing growing care demand, staff burnout, and system inefficiencies, “Y” needed to future-proof its operations while staying true to its core mission: delivering compassionate, personalized mental health support. Fragmented processes and rising wait times made this increasingly difficult.

The vision: ethical, human-centered AI

Ideal Shift AI co-designed a strategic AI roadmap with “Y’s” leadership—aiming to streamline processes, reduce admin burden, and support clinical decisions, all while reinforcing trust, privacy, and compliance with the EU AI Act.

How the plan comes to life

Smarter intake, faster help

“Y” plans to automate client intake and screening—matching referrals with the right teams, generating draft reports from forms and speech/text data, and identifying cases fit for early support or self-help tools.

Less admin, more care

Draft discharge letters, care updates, and session summaries plan to be auto-generated, saving clinicians valuable time. Email-based interactions are also planned to be auto-logged to meet reporting needs without extra effort.

Better scheduling, fewer no-shows

Using historical data, models plan to predict no-shows and help auto-schedule first appointments based on availability and location—optimizing rosters and reducing lost time.

AI support, not AI decisions

Internal AI assistants plan to help clinicians navigate protocols, suggest treatment modules, and pre-fill care plans—all under human supervision.

Dashboards that drive clarity

Power BI dashboards plan to monitor waitlists, bottlenecks, and regional inflows, while forecasts help anticipate resource needs and budget planning.

Ethical AI by design

The roadmap prioritizes clinician control, patient dignity, and data privacy. AI is never used for first contact or decision-making without human oversight. All tools are evaluated for ethical risk and designed to comply with EU regulations.
